How to convert PDF bank statements to Excel

Updated 2026-08-01

Bank statements look simple but are surprisingly hard to convert: multi-page tables, running balances, and layouts that differ by bank. Here is how to get clean transaction data.

Bank statement reconciliation: opening balance plus transactions equals closing balance

Why it is harder than it looks

A statement is a long table split across pages, often with a running balance column and inconsistent date formats. Copy-paste mangles the columns, and generic PDF-to-Excel tools frequently misalign amounts or drop rows.

The options

Some banks offer a CSV export — always use it if available. When you only have the PDF, AI extraction can read the transaction table into structured rows (date, description, amount, balance) across every page.

Reconcile to be sure

The safest check for statements is reconciliation: opening balance plus the sum of transactions should equal the closing balance. If it does not, a row was misread. Building that check into the process catches errors automatically instead of leaving them in your data.

FAQ

Can it handle multi-page statements?Yes — every page is read and the transactions are combined into one table.
What if the numbers do not add up?A reconciliation check flags the statement for review so you can fix the misread row before using the data.
